Microsoft Power Automate | Workflow Automation for Teams Running Dynamics 365 and Microsoft 365

Microsoft Power Automate is used to automate repetitive tasks and multi-step processes between business applications without writing code. Common use cases include approval routing for purchase orders, invoices, and expense reports, automated notifications when records change in Dynamics 365, data synchronization between systems, AI-powered document processing, IoT-triggered work order creation, and customer or employee onboarding workflows. Power Automate connects to more than 400 applications through prebuilt connectors, including Dynamics 365 and hundreds of others.

Power Automate and Zapier both automate workflows between applications, but they serve different environments. Zapier is connector-first and works well for teams using a wide variety of SaaS tools outside the Microsoft ecosystem. Power Automate is built for organizations running on Microsoft. It integrates natively with Dynamics 365 allowing workflows to connect business applications and data without middleware. For manufacturers and distributors already on Microsoft ERP, Power Automate is the lower-friction option because it shares the same security model, data environment, and admin controls as their existing Microsoft applications. 

Power Automate includes a prebuilt Business Central connector that provides direct access to customers, vendors, items, sales orders, purchase orders, journal entries, and other Business Central data, making it easy to automate business processes. Common flows built for Business Central customers include approval workflows for purchase orders above a threshold, automatic notifications when inventory falls below reorder points, vendor invoice processing that routes to the right approver based on amount and category, and customer onboarding sequences that create records across Business Central and other systems automatically. Robotic process automation in Power Automate uses UI flows to automate tasks in applications that do not have an available connector or API. Instead of using a data connection, a UI flow records and replays a series of mouse clicks and keyboard inputs, replicating the same actions a user would perform manually. This makes it possible to automate legacy applications, older ERP systems, or web-based tools without any integration work on the application side. Power Automate's RPA capability (called Desktop flows) works on both attended and unattended automation, meaning it can run with a human present or operate automatically in the background.

Power Automate licensing is available in several tiers. Power Automate Premium starts at $15 per user per month and includes cloud flows, premium connectors, and attended desktop automation (RPA). For enterprise process automation and unattended RPA scenarios, Microsoft also offers Power Automate Process and Hosted Process licensing. Many Microsoft 365 and Dynamics 365 licenses already include limited Power Automate capabilities, so it's important to review your existing licensing before purchasing standalone subscriptions.

Yes. Power Automate includes AI Builder, which adds prebuilt and custom AI models directly into workflows without data science expertise. Common AI Builder capabilities include document processing that extracts data from invoices, purchase orders, and forms automatically; object detection for quality control workflows; text classification for routing customer emails or support tickets; and prediction models that score records based on historical data. AI Builder capabilities are included in the Power Automate per-user plan with AI Builder or can be licensed separately.
